Sharing Teams Recordings from OneDrive
Before You Begin:
- Sharing Teams recordings from OneDrive is very easy but we recommend you do it from the web browser.
- This article assumes that you have created a separate folder in OneDrive for each recording (or for each class if you're sharing class recordings) that you want to share, and have moved the recording to that folder. (Teams recordings can be found in your OneDrive account in the automatically-created folder, Recordings).
- This article shows how to share a recording with people at Benedictine University. In order for them to access the recordings, they must be logged into Microsoft 365 with their Benedictine credentials.
To Share Recordings:
- Log into Microsoft 365 and go to OneDrive (click the icon on the left of the screen)
- Find the first folder that has a recording you wish to share
- To the right of the folder, click the ellipsis and then Share
- The Share window will appear. Add the usernames (Benu students or staff) and/or email addresses (people outside of BenU) with whom you want to share the contents of the folder. If you are sharing with a large group of people (such as a class list) or you're not sharing with people outside of Benedictine University, it's easier to create a shared link. You can skip this step and go to step 5.
- Click the down arrow beside the pencil to display the sharing permissions. If sharing with students, we recommend not allowing edits.:
- Click on the gear icon in the Copy Link box, select "People in Benedictine University", and click Apply.
- When you return to the Share pop-up, click "Copy Link". Share the link with the people who have access, according to the sharing permission you chose:
* Anyone - if anyone (inside or out of BenU) has the link, they can access the file. Not typically recommended.
* People in Benedictine University (recommended) - anyone with a BenU email address who also has the link can access the file. If they are not logged in, they will be forced to login prior to accessing the file.
* Only people with existing access - this option doesn't provide any new or additional permissions that what is already granted.
* People you choose - this grants the permission to just the people you listed in step 4 above. The only time you would typically use this is if there are people who have access to the folder already but you don't want all of them to access this file. For example, you teach multiple sections of the same class and you created just a single folder for all sections. You then upload a file to that folder. By default, everyone who has access to that folder (all the students across all of your sections) will have access to the file you just uploaded. But if you only want one section's students to access that folder, you would add them as shown in step 4 AND you would select this option. If you don't select this option, the folder's default would still be in effect and even though you listed specific people, all students could access it. This option is best used to restrict access to a smaller group of people who can already see the folder.
If you wish to share only the video (the MP4 file) you can simply open the folder and follow the same steps for the individual file.
