Transferring Surveys and Responses from Qualtrics to SurveyMonkey
This is only available until September 23, 2023
We are excited to announce a change in our survey platform from Qualtrics to SurveyMonkey. Due to continued substantial price increases from Qualtrics, we needed to investigate alternative platforms.
SurveyMonkey, a well-known and respected platform, has provided us with an educational license that delivers significate savings, while still allowing all members of Benedictine (staff, faculty, and students) with their own account.
Exporting and Rebuilding Surveys
Although SurveyMonkey doesn’t have an import tool to bring live surveys over, we have found a process to quickly recreate your survey. This is a manual process but allows you to keep the wording and other information you’ve built in Qualtrics.
Step 1, export the survey:
- Login to Qualtrics at https://ben.co1.qualtrics.com/ with your BenU credentials.
- Click the menu icon in the upper right of the screen (the three lines beside the “XM”) and select Projects.
- Click on the name of the survey you are exporting to go into the edit screen.
- Click on the Tools drop down button in the upper left and select Import/Export > Export Survey to Word to display the export options box.
- Choose the options you would like to include and click Export. This will export a Word doc to your computer’s Download folder.
Step 2, rebuild the survey:
- Log into SurveyMonkey (once it is accessible).
- Select Create Survey in the upper right of the screen.
- From the left-hand menu, under “Create Survey”, click Import Questions.
- Open the Word document with the survey you’re rebuilding.
- Follow the onscreen instructions in SurveyMonkey to copy/paste the questions (and associated answers for dropdowns, radio buttons, etc.)
Exporting Data
If you have fewer than ten surveys from which you want to export the replies, then please complete the following steps:
- Login to Qualtrics at https://ben.co1.qualtrics.com/ with your BenU credentials.
- Click the menu icon in the upper right of the screen (the three lines beside the “XM”) and select Projects.
- Find the survey whose data you want to export. At the end of that line, click the ellipsis and select Data & Analysis
- In the upper-right of the screen, click the Export & Import button and select Export Data… to display the export options box.
- Choose the format at the top (we strongly recommend the default of CSV).
- Click the More Options link to display the full list of options.
- Choose the other options for data export and click Download to display the Manage Downloads screen. Depending on the number of responses being exported, this may take a few minutes.
- This will export the CSV file to your computer’s Downloads folder.
If you have more than ten surveys to download the data from and you would like assistance, please send an email to helpdesk@ben.edu and someone from Support Services will be in contact with you. Otherwise, you can follow the above steps to download the results
We recognize that this is a very short timeline to migrate. Once we received this year’s renewal price from Qualtrics, we had a very short window in which we could make this move. We sincerely appreciate everyone’s understanding.
